Esperanto-USA is establishing a new publishing house, “Guteto,” to expand access to Esperanto literature in the United States and beyond.

Guteto will publish new original works, educational materials for English-speaking learners, and republish classic works. The new initiative directly supports Esperanto-USA’s mission to advance the education and dissemination of Esperanto in the United States and beyond, by offering accessible works for beginners to experts alike.

The project was developed in collaboration with Stela BESENYEI-MERGER, who led its conception and structuring.

“There are so many things that excite me about the project: making classic literature accessible to people and imagining the new discussions, understanding, and friendships that will be formed through shared reading experiences,” said Stela BESENYEI-MERGER. “I see Guteto evolving in such a way that reading in Esperanto will become something that seamlessly fits into everyday life.”

She also highlighted the inspiration behind the project: “The name Guteto honors Morojo’s work. Her involvement in the science fiction world is also a nod to our first Guteto project. Morojo’s works exist for the community. Her zines were an invitation to collaboration and contributed to encouraging reading in Esperanto and creatively encouraged engagement. I hope the publishing house will feel the same way for all of us.”

The establishment of Guteto is also an important step forward in supporting the mission of Esperanto-USA, with an emphasis on accessibility and global reach.

“With Guteto, we aim to bring Esperanto-USA’s publishing work into the 21st century. We can use ebooks to make high-quality Esperanto literature more easily accessible to readers around the world, without barriers such as shipping, storage, or customs,” said Brandon SOWERS, President of Esperanto-USA. “We want to build a publishing house that simultaneously preserves our cultural heritage and supports the development of new literature.”

Esperanto-USA announces the creation of the Committee on the 75th Anniversary of Esperanto-USA, in celebration of its milestone anniversary in 2027.

During the March board meeting of this year, the board approved a special committee to highlight the important upcoming milestone for Esperanto-USA. This committee will coordinate festivities in 2027, including the creation of a special logo, the preparation of an updated edition of A History of ELNA with new material covering 1905 – 1952, the selection of historically significant locations for the 2027 American Esperanto Congress, and the development of a program to celebrate and publicize the occasion. Its charter can be found here.

The special committee is composed of the following founding members: Elle BECK, David BECK, Bradford SMITH, and Izaak ZAWYRUCHA-MOORE.

The committee’s work supports Esperanto-USA’s lasting mission to “advance education and dissemination of the international language.” Izaak ZAWYRUCHA-MOORE, chair of the special committee, firmly believes that uncovering and educating about the history of the Esperanto movement in the United States is essential to teaching, informing, and guiding the future of the movement in the country, especially during turbulent times.

“We need a few enthusiastic volunteers to make it unforgettable,” says Izaak ZAWYRUCHA-MOORE. “If you are fascinated by our history, from Zamenhof’s 1910 greeting to our “Land of Freedom” in Washington, D.C., to early congresses in places like Madison, Wisconsin, and Sacramento, California, this is your opportunity to deepen that interest.”

If you are interested in volunteering with this special committee, contact Izaak ZAWYRUCHA-MOORE at izaak.zawyrucha@esperanto-usa.org.

The financial health of Esperanto-USA rests not only on budget plans and daily expenses but also on a solid pillar: the investment portfolio (or investaĵaro). Although membership dues are essential, they cover only a portion of the organization’s operating costs. To support programs — such as grants for local meetings in Cleveland, reducing costs for the National Congress (Landa Kongreso), and technical maintenance for the Central Office — the organization relies on the growth of its investments. The current strategy is moderate regarding risk, aiming for (and often achieving) an annual yield of more than 10 percent.

Dialogue: What is in the “Basket”?

In the following conversation, the Treasurer explains to a new board member, Elena, the reasons why the organization chooses specific tools for its funds.

Elena: While studying the balance sheet, I noticed that a large portion of our resources is held in investment accounts instead of ordinary bank accounts. Why don’t we simply use a traditional savings account?

Treasurer: Savings accounts are indeed safe, but their interest is often lower than inflation. For Esperanto-USA to grow and finance future projects, it is necessary to place a portion of our resources into stocks and bonds.

Elena: Isn’t that too risky for a non-profit organization? The securities market sometimes experiences sudden drops.

Treasurer: That is a completely valid concern. That is why the organization does not buy individual stocks in specific companies. Instead, we use ETFs (Exchange-Traded Funds). You can imagine them as baskets full of hundreds of different stocks. They are more efficient and less costly than traditional mutual funds. If one company in the basket fails, the hundreds of others keep the whole thing stable.

Elena: So, is that the diversification mentioned in our guidelines?

Treasurer: Exactly. Through this strategy, the organization maintains moderate risk yet enjoys an annual yield of approximately 10 percent. This gain directly helps pay for various software and services for the Central Office without the need to excessively raise membership dues. Furthermore, it allows the Board to support local grants and other programs so that we can advance the mission of Esperanto-USA.

Elena: I understand. So the investments work like an engine that constantly generates resources for the movement’s goals.

Treasurer: Precisely! Soon you’ll be ready to be the Treasurer yourself!

Fundamental Terms

Here is an overview of the fundamental terms used in the conversation above:

Esperanto

English

Definition

Borso

Stock Market

Exchange market by which consumers and institutions can purchase stocks, bonds, and other financial vehicles with the hopes that they will grow in value over time before selling them back onto the exchange.

Investa biletujo (or investaĵaro)

Investment portfolio

The set of all investments (stocks, bonds, etc.) owned by a person or organization.

Akcio

Stock

A security that represents a share of ownership in a company.

Obligacio

Bond

A debt instrument or loan given to a government or corporation in exchange for fixed interest.

BKF / Borse Komercata Fonduso

ETF

A “basket” of various investments buyable on the exchange as a single unit. Imagine that you buy a collection of works from William Auld’s basic reading list. Even if one or two of them do not especially interest you or do not appeal to you very much, you can still enjoy the others, and the collection still has value for you. In the same way, with a stock ETF, one or two weaker investments do not necessarily erase the value of the whole collection.

Komuna investfonduso

Mutual fund

A mutual fund is like a large “group pot” where many people put their money together to buy a mix of different things, like stocks and bonds. The main difference is that mutual funds are usually bought directly from the fund company at the end of the day, while ETFs are bought and sold on the stock market all day long, just like individual stocks.

Diversigo

Diversification

A strategy of spreading capital among various investments to reduce risk.

Jara rendimento

Annual yield/return

The gain or profit generated by an investment over one year, expressed as a percentage.

Institutional Policy

The investment strategy of Esperanto-USA is not accidental, but carefully documented in the Financial Management Policy. A detailed description of the guidelines can be found at the following link:

Financial Management Policy – Investment Strategy

Understanding the language of finance helps every member recognize the resources that ensure the long-term future of Esperanto in the United States.

Supporting clubs: our strategy, our budget, your idea

Esperanto‑USA believes a simple truth: the strongest way to grow Esperanto in the United States is through local people, local relationships, and local activities. Clubs and regional groups are often the first place a beginner feels genuinely welcomed. In many cases, local friends actively encourage those beginners to continue learning Esperanto—and, ideally, to also become members of Esperanto‑USA.

That’s why, in the current budget, we set aside a dedicated amount to support local and regional clubs. As Treasurer, my role is both to protect the organization’s finances and to ensure that our resources truly serve the mission. This grant program does both: it invests in the most effective channel for engaging people, while remaining transparent and responsible.

New grant application

To simplify the process, we recently launched a straightforward application form. You can request funding using the new grant application.

What kinds of projects can a grant support?

Grants are intended for concrete activities that strengthen learning, visibility, and community engagement. Since our budget year follows the calendar year, requests should be for support during a year. If you request for help with space or technology costs that recur each year, you should plan to resubmit an application each year that you need help.

Examples of support or project costs that you can request support for:

rental of space for meetings, courses, or public programs

printed outreach materials (posters, flyers, beginner guides)

basic materials for “Try Esperanto” events or information tables at local events

modest costs for outreach and reaching new audiences

technical needs for public talks or hybrid meetings (as appropriate)

Meetup (or similar services) subscriptions if that’s the main way you attract new members to your club or communicate club gatherings

Tip: The strongest applications clearly explain (1) what you plan to do, (2) how much it will cost, and (3) how you will know the project is successful.

What we look for in a strong request

We aim to be fair, consistent, and transparent. A strong application typically:

Has a clear goal (e.g., a series of meetups, a beginner course, a public lecture)

Includes a realistic budget (what the expenses are and why they are necessary)

Describes the expected impact (how many participants you expect, how many new contacts you aim to reach, and whether follow‑up activities are planned)

Aligns with Esperanto‑USA’s mission: learning, community, and sustainable local presence

Accountability without unnecessary bureaucracy

We want this program to support volunteers—not burden them. At the same time, because these are organizational funds, basic accountability is necessary.

After the project, we generally ask for:

a brief report (what took place, how many people attended, what you learned)

basic documentation for major expenses (such as receipts or payment confirmations), as needed

ideally, a short article submitted to Usona Esperantisto for publication

This protects both you and the organization, and it helps us show the membership: “This is how budgeted funds turned into real, local movement‑building.”

Invitation to clubs: propose, test, and grow

If your club has an idea—even if it is not yet perfectly polished—I encourage you to submit an application. A small, well‑planned grant can be the difference between “we would like to do something” and “we actually did it.”

Once again, here is the grant application.

Monthly Financial Closing: The things we do to make sure that our books remain in good shape

In the world of finance, closing the books simply means finishing the month so that the financial information reflects reality. We do practical housekeeping: we reconcile the bank and credit card statements to our official accounting system, QuickBooks Online (QBO). We note timing differences and correct obvious misclassifications. We also post a few journal entries to explain special situations, for example when money moves from the investment account into the checking account and then immediately goes out to pay a program expense. Another such situation is when a cost belongs to June but the invoice arrives in July. After that, we prepare the financial statements so we can analyze how the organization is progressing toward its annual goals and present a clear, trustworthy picture to the board and to the members.

To make these activities concrete, here is a short, fictional conversation between the Treasurer and the Central Office Director.

Treasurer: We still don’t have the utilities bill. To keep June whole, let’s record an accrual for $900.

Office Director: Got it. I’ll post a journal entry: debit Utilities Expense $900, credit Accounts Payable $900. That way June shows the cost before the invoice arrives.

Treasurer: Nice. The bank statement shows $2,000 in outstanding checks. That’s just timing. We’ll explain it in the reconciliation report.

Office Director: We prepaid $12,000 for the conference venue. One month has passed, so we should recognize $1,000 as expense.

Treasurer: Exactly! Debit Expense $1,000, credit Prepaid Expense $1,000. While we’re at it, let’s book depreciation on the copier. Round it to $500 for June.

Office Director: One more item: revenue for the October workshop. We already collected $6,000 in July.

Treasurer: That’s unearned revenue. We’ll defer it now and recognize it as we deliver the workshop.

Office Director: Once these are in, I’ll run the trial balance and make sure the statements tie.

Key terms we learned

Journal Entry (ĵurnala registro): A manual entry in the accounting system with debits and credits for a transaction. Some accounting activities do not map to a single external transaction (for example, when we record a portion of depreciation each month). To keep the books accurate, a bookkeeper or other professional records these items manually.

Accrual (akrualo/enperiodigo): Put costs and revenues in the correct period, not based on the cash movement. This is important to ensure the financial reports reflect regular, expected monthly expenses (for example, utilities).

Deferral (prokrasto): Recognize later what was paid or received now. We should not record revenue for an event before the event actually occurs, even if we received the cash during advance registration.

Unearned Revenue (neankoraŭ gajnita enspezo): Cash received for work not yet delivered. See “Deferral” above.

Reconcile (bilanci) / Reconciliation (bilancigo): Explain differences among the bank statement, subledgers, and the general ledger. During reconciliation, we analyze differences to explain why they happened and how to correct any errors.

Prepaid Expense (antaŭpagita elspezo): An asset that turns into an expense over time.

Depreciation (amortizo): Scheduled expensing of a long‑lived asset.

Accounts Receivable — A/R (ricevaĵoj): Amounts owed to the nonprofit.

Accounts Payable — A/P (pagendaĵoj): Amounts the nonprofit owes.

Trial Balance (prova bilanco): Listing to confirm debits equal credits before financial reports are run.

These steps keep the Statement of Activities and Statement of Financial Position honest and readable… which builds member trust.

Back to the finance page

</details>

Pasis unu monato, do ni registru 1 000 $ kiel elspezon.

Prokrasti (Defer) / Prokrasto (Deferral): Rekoni poste tion, kio estis pagita aŭ ricevita nun.

Matt BROOKS | Drafted: Aug 5, 2025 | Adopted: Aug 24, 2025

Purpose:

Esperanto‑USA (“the Organization”) solicits and accepts charitable gifts that support and further its mission to advance education in and awareness of Esperanto in the United States. This policy guides donors, volunteers, staff, and board members in evaluating, accepting, or declining gifts and ensures that acceptance decisions protect the Organization’s integrity, financial health, and reputation.

Policy:

1. Scope

This policy applies to all forms of gifts—including cash, securities, tangible and intangible property, and planned‑giving instruments—offered to Esperanto‑USA for any purpose, program, or service.

2. Definition of Major Gift

A major gift triggers formal review and is defined as (a) any cash or marketable security valued at $10,000 or greater, or (b) any proposed non‑monetary asset of any value (e.g., real estate, tangible personal property, intellectual property). Gifts described in (b) are not ordinarily accepted and will be processed in accordance with §3 and §7.

3. Gifts Generally Accepted Without Review

Cash & Cash Equivalents – including checks, ACH, credit/debit cards.

Marketable Securities (Publicly Traded) – transferred to the Organization’s designated brokerage account and generally liquidated upon receipt.

Bequests & Beneficiary Designations – via wills, revocable trusts, life‑insurance policies, commercial annuities, and retirement plans.

Charitable Remainder & Lead Trusts – where Esperanto‑USA is a named beneficiary only.

4. Gifts Not Accepted

Esperanto‑USA will decline any proposed gift that:

Consists of restricted, closely held, or otherwise illiquid securities (no exceptions) (example: privately held securities. Donor must convert to cash prior to donating);

Names Esperanto‑USA as a trustee or fiduciary —except where the Organization is already a named beneficiary or administrator of a pre‑established trust (e.g., the Harmon Reed Trust)—;

Cryptocurrency or other digital tokens;

Non‑marketable, speculative, or heavily encumbered assets;

Obliges the Organization to assume financial, environmental, or other liabilities;

Mineral Rights

Presents a potential conflict of interest;

Involves real property or other assets subject to environmental or regulatory concerns (no exceptions);

Violates the Organization’s Articles of Incorporation or jeopardizes its 501(c)(3) status;

Is incompatible with its mission, values, or strategic priorities;

Creates an undue financial, administrative, legal, or reputational burden;

Imposes restrictions that prevent prudent management or use;

Gifts conditioned on extremist, discriminatory, or otherwise unethical purposes; or

Is otherwise unlawful or unethical.

5. Gifts Requiring Finance Committee Review

Asset Type

Key Review Considerations

Tangible Personal Property (books, equipment, artwork, vehicles)

Mission relevance, marketability, carrying costs, clear title/provenance

Life‑Insurance Policies (where Organization is owner/beneficiary)

Premium obligations, policy type, surrender value

Planned/Estate Gifts naming Esperanto‑USA as trustee

Administrative burden, legal compliance, investment oversight

Intellectual Property and Royalties

Legal complexity, valuation, ongoing management

Endowment or Restricted Gifts ≥ $10,000

Alignment with §8 time limits, investment management, reporting requirements

6. Gift Acceptance Process

Initial Screening – Treasurer or designated staff logs the offer and determines whether it falls under §4 or §5.

Due Diligence – For §5 gifts, staff gathers required documentation (appraisals, insurance or policy documents, trust or legal agreements, intellectual‑property assignments) and submits a summary to the FC.

Committee Recommendation – The FC records its analysis and recommendation (accept, modify, or decline).

Board Action – When required, the Board votes on the gift at the next regular or special meeting, or may conduct an expedited virtual vote in accordance with Board operating rules when timing is critical.

Gift Agreement – For major or restricted gifts, Esperanto‑USA and the donor must memorialize—via a mutually agreed‑upon email or a signed document—an agreement outlining purpose, restrictions, liquidation intent, reporting schedule, and the five‑year sunset clause. The finalized email or document will reside in the Organization’s official electronic storage system until all conditions of the gift have lapsed.

7. Review & Approval Authority

Treasurer/Executive Director – may immediately accept gifts listed in §3.

Finance Committee (FC) – reviews gifts listed in §5 and recommends acceptance, modification, or declination to the Board.

Board of Directors – retains final authority for gifts exceeding $250,000, gifts that significantly impact strategy, or any gift the FC refers for further consideration.

8. Default Time‑Limited Endowment & Restricted Funds Clause

Unless the Board explicitly approves an alternative, all endowment‑style and other restricted gifts will convert to unrestricted status after five (5) years from the date of gift acceptance. Donors may request a longer or perpetual restriction, but such requests require Finance Committee review and Board approval.

When a restriction sunsets—or if a donor‑imposed condition later proves impracticable—the Board will make a good‑faith effort to honor the donor’s original intent by moving the funds to the closest mission‑aligned category‑level purpose (e.g., an Education/Scholarship endowment may be redesignated to Education/General Support). If no substantially similar purpose exists, the Board reserves the right to repurpose the funds to meet the Organization’s most pressing needs while remaining consistent with its charitable mission.

9. Donor Responsibilities

Donors bear responsibility for obtaining independent tax or legal advice and for all required appraisals.

Required appraisals include obtaining the fair market value of the gifts if requiring a gift receipt for tax reporting

Esperanto‑USA does not provide tax, legal, or investment advice.

10. Valuation & Acknowledgment

Gifts are recorded at fair market value on the date of transfer.

Donors are responsible for providing and defending the fair market value at time of transfer.

The Organization issues written acknowledgments compliant with IRS regulations (e.g., for gifts ≥ $250) within 30 days of acceptance.

11. Policy Review & Transparency

This policy will be reviewed at least every three (3) years by the Finance Committee and updated as needed. The current version will be posted on the Organization’s website for transparency.

de Mateo BROOKS, kasisto | August 7, 2025

<details class="wp-block-details is-layout-flow wp-block-details-is-layout-flow">
EN Version

In the second quarter (Q2), Esperanto‑USA executed planned program distributions, stabilized our accounting system, and maintained healthy liquidity while preparing to execute the bi-national congress with our fellow esperantists in Canada. The Q2 story is mainly about timing: restricted funds went out to programs on schedule, and we funded planned program and operations expenses with a board‑approved transfer from the unrestricted investments account, all while keeping the Endowments steady.

Note: Reed Trust results are shown for transparency but excluded from E‑USA totals, because it’s not an account that Esperanto-USA owns. E-USA is the administrator of the Trust on behalf of Esperanto organizations in the US.

Account Balances

Checking & Credit Card

Account

Q1 close (Mar 31)

Q2 close (Jun 30)

Change

Checking

$27,201

$54,624

+$27,423

Credit Card*

($46)

($2,990**)

(+$2,944)

* The credit card balance is a negative number, because it shows the amount that we owe to the bank. This number increased in June supporting the story that we planned to spend more as we led up to the July congress. In financial statements negative numbers are usually placed in parentheses.

** Credit‑card figure from the cycle ending July 7 (covers late June activity).

Investments

End‑of‑period market values

Account

Q1 close (Mar 31)

Q2 close (Jun 30)

Change

Endowments

$282,468

$283,839

+$1,371

Unrestricted Investments

$314,348

$273,319

−$41,029

Sum of E‑USA Accounts

$596,816

$557,158

−$39,658

Reed Trust (separate entity)

$408,614

$419,043

+$10,429

What changed?

The Endowment remained steady (income from fixed‑income holdings offset minor market drift).

The Unrestricted account dropped primarily due to a board‑approved $50k transfer to checking during June; investment performance partially offset the draw.

This draw down was primarily a transfer of the 2024 Reed Trust Income (which was stored in a high-interest money market account until its planned use) to support NASK being held in Toronto. ($14,400)

The remaining $35,600 was transferred to similarly to offset planned program expenses in the budget. Much of this was related to the congress, whose income won’t be received until Q3.

The Reed Trust continued its steady growth and provided its scheduled program disbursement (90% to grantees; 10% retained for administration). Again, Reed Trust is not included in E‑USA totals.

Q2 Highlights (Statement of Activity)

Restricted program distributions executed (including Reed Trust pass‑throughs and scholarship support), creating a planned operating deficit for the quarter.

Core admin costs (payroll, rent, software) remained close to plan.

Liquidity stayed strong even after program outflows and the transfer to support operations.

Bookstore – Q2 Spotlight

Sales (Catalog/Bookstore): $919

Membership Dues / New Memberships: $2,781

Cost of Goods Sold (COGS): $0 due to use of depreciated or donated inventory

The bookstore continues to serve members and generate margin. Esperanto-USA has also received multiple offers for donations of books which will help power the sales numbers in future quarters. The organization is also discussing several ideas about merchandise which we could produce and sell through LaBazaro.com, an Esperantujo-owned and operated online marketplace.

Outstanding Actions for the Treasurer

Work with Morgan Stanley to move the unrestricted investments and Reed Trust accounts under management

Work with Esperanto-USA’s CPA to create a new, fresh, and modern chart of accounts to align the organization to modern non-profit accounting practices. This will also simplify the preparation of the Form 990

Work with the CPA to establish a new program named “Culture / General” which will be the parent program of the US Good Film Festival as well as future writing contests and other culture-specific programs (see the below “Looking Forward” section for more details)

Draft and work with the Board to approve a new Gift Acceptance Policy that reflects modern best practices and advice from Cal Non-Profits

Looking Forward

During the congress this year, we were approached by Danielle Power, the widow of the late Charles Power, with an offer to establish a $50,000 restricted gift in Charles’ name. The restricted gift will serve to support the US Good Film Festival as well as literary and publishing projects, specifically for works of original and translated Science Fiction stories in Esperanto. Charles was an avid Science Fiction reader and translator of comic books! We recently established the gift agreement with Danielle and are excited to honor Charles, a long-time and strong supporter of Esperanto here in the US.

We’re also excited to share that due to the success of Esperanto-USA over the past year, and the community’s faith in our board and direction, long-time honorary lifetime member, Humphrey Tonkin, offered to become a paid-in-full lifetime member. This very generous gesture by Humphrey, along with his and other’s feedback during the Esperanto-USA aferkunsido at the congress warms our hearts and powers us forward to continue fulfilling the mission and vision of Esperanto in the US.

Back to the finance page

</details>

Investoj

Fino‑de‑periodaj merkataj valoroj

Konto

Fino de K1 (31 mar)

Fino de K2 (30 jun)

Ŝanĝo

fondusoj

282 468 $

283 839 $

+1 371 $

nelimigitaj investoj

314 348 $

273 319 $

−41 029 $

Sumo de E‑USA-kontoj

596 816 $

557 158 $

−39 658 $

Reed Trust (aparta ento)

408 614 $

419 043 $

+10 429 $

Their phone number / Ties telefonnumero:
Their email address / Ties retadreso:
Their country / Ties lando:
Their preferred payment method (Choose one) / Ties preferita pag-metodo (Elektu unu)
PayPal address / Paypal adreso:
Venmo address / Venmo adreso:
UEA address / UEA adreso:

Jen pli da informo (angle): The Do’s and Dont’s of TM Use and Product Placement in Productions.

The American Good Film Festival encourages people to create films in the constructed language Esperanto, which was designed in 1887 to be the easiest language in the world to learn. Five judges chosen by the host will evaluate each submitted film and give out cash prizes to the top ten that they choose. Esperanto-USA will also give an audience choice award to the film that receives the most likes on YouTube.

Anyone can enter and there is no entry fee. Your film simply has to be less than five minutes long and entirely in Esperanto with at least ten unique spoken words and a visible required prop (to ensure that the film is newly made for this contest). The required prop this time is a spoon.

In previous years, virtually every film submitted was shown on our YouTube channel. To avoid presenting films with poor audio quality or incorrect grammar or pronunciation, our previous host assisted many filmmakers in translating their films and editing their audio levels and showing them which lines to record again to remove mistakes. As the festival has continued growing, offering that level of assistance is no longer feasible. Because of our growth, we are also in a position to be more selective about which films we decide to show. To that end, the judges will now select which films are shown on Esperanto-USA’s channel and those not selected by us are welcome to be submitted by their directors to other film festivals.

This year, films are required to include a separate Esperanto subtitle file as part of their submission. In the past, the host and a few other volunteers individually typed and aligned subtitles for each film after the final deadline. This delayed the films appearing on YouTube as well as the announcing of the winners. This new policy will spread the workload more efficiently and speed up the winners receiving their prizes. For a full list of submission rules and helpful resources, continue reading below.

HOW TO ENTER: Each entrant should send an email with the subject heading “EPO107 – Name of Director” (for example, “EPO107 – John Smith”) to filmfestivalo@esperanto-usa.org. Put this information in the body of the email:
The Film’s Title / La Titolo de la Filmo:
The Director’s Name / La Nomo de la Reĝisoro:
Their phone number / Ties telefonnumero:
Their email address / Ties retadreso:
Their country / Ties lando:
Their preferred payment method (Choose one) / Ties preferita pag-metodo (Elektu unu)
PayPal address / Paypal adreso:
Venmo address / Venmo adreso:
UEA address / UEA adreso:
Attach the script, the subtitles file, and all necessary talent release forms to that email. That email will serve as your official entry for this contest. If any of the above are missing, your entry will be considered incomplete and cannot be accepted.

HOW TO SEND YOUR FILM: Films must be submitted electronically to filmfestivalo@esperanto-usa.org via Google Drive, Dropbox, or WeTransfer as an *.MP4 or *.MOV file. If your video file is sent via these methods using a different associated email address than the email address you used to submit your entry, please include the other email address in your entry email, or send a follow-up email with this information. If we cannot associate your entry email to your film due to mismatched email addresses, your entry will not be accepted.

DEADLINE: The deadline to submit your film is 11:59pm EST on October 10th, 2025. Any films submitted after that time can still be shown but are ineligible to win any prizes.

FILM TITLE AND FILE NAME: The film should be labeled as follows: EPO107_Title_of_Film.MP4 (so a film titled La Ĉapelo and exported as an *.MOV file should be labeled EPO107_La_Ĉapelo.MOV). The film’s title must be in Esperanto so that its correct pronunciation is internationally understood (Lydia, for example, is not allowed, but Lidia, which only uses Esperanto letters, is permitted).

THE REQUIRED DIALOGUE: All dialogue must be in grammatically correct Esperanto and at least 10 audible Esperanto words must be used in the film. Proper nouns or repeating an Esperanto word do not count toward the necessary amount. A person who only speaks Esperanto should be able to understand the entire film.

THE REQUIRED PROP: A spoon must be clearly visible somewhere in the film. No one has to mention it; it simply must be visible.

CAMERA ORIENTATION: All films must be shot horizontally instead of vertically.

FILM RESOLUTION: The film should be in high definition with a resolution of at least 1280 x 720 pixels (though 1920 x 1080 or 3840 x 2160 is preferred).

FRAME RATE: Please use an NTSC frame rate of 23.98, 24, or 30 frames per second. If your film is animated, you might only have a few unique drawings to display for each second, but you should still export a final video file with one of those aforementioned frame rates and the computer will automatically reuse your images for the additional frames.

FILM LENGTH: The film’s total length (including credits) must not exceed five minutes. There is no minimum length requirement.

SUBTITLES: Your film must NOT contain on-screen subtitles that cannot be removed or deactivated because these films are meant to be listening practice for learning Esperanto. You must send subtitles to us in SRT or SBV files in Esperanto which we will upload separately so that they can be chosen later. Please use standard Esperanto letters when needed (Ĉ, Ĝ, Ĥ, Ĵ, Ŝ, Ŭ, ĉ, ĝ, ĥ, ĵ, ŝ, ŭ) instead of the X-system (Cx, Gx, etc.) in your subtitles. If you do not include an Esperanto subtitle file, your entry will be considered incomplete and will not be accepted. Including additional subtitle files in additional languages (English, Spanish, your native language) is encouraged but not necessary. The Esperanto-USA YouTube channel has a tutorial video for creating subtitles here and you can even ask for help in making them in the festival’s Telegram group here.

SUBMIT YOUR SCRIPT: Attach the script as a PDF with all the dialogue of the film so the judges can understand the story in case the audio is unclear. (The submitted script should be labeled EPO107_Title_of_Film_Script.pdf).

CREDITS: While the title and all dialogue must be in Esperanto, the credits can be in any language and there is no requirement to include credits. Because some cultures place family names before personal names, Esperanto customarily uses all capital letters for the family name (for example, Mary Tyler MOORE and YANG Huaili). Feel free to incorporate that in your films for added specificity. Note that the words for a film’s Director and Editor are Reĝisoro and Muntisto, respectively, and are not the same words we use for the director of a bank or the editor of a newspaper.

ANIMATED FILMS: You are welcome to use figurines, puppets, or other animation instead of actors on screen and the required prop can be animated.

TALENT RELEASE: A signed talent release form is required for each person who appears (or whose voice is used) in the film. Use the same form for adding any original copyrighted music from a musician. For minors, a parent or legal guardian needs to sign on their behalf. Unidentifiable people such as in a crowd or a passing car do not require a form and neither does the director of the film whose permission is implicit in their film’s submission. Please label them “EPO107_Title_of_Film_TalentRelease1.pdf” for the first actor and “…TalentRelease2.pdf” for the second actor and so on. Download the release form. You can print, sign, and scan the document or complete it electronically for free using a program like LibreOffice Draw.

INAPPROPRIATE CONTENT: Films containing sexually explicit, excessively violent, offensive, or vulgar content may be removed from consideration at the sole discretion of the judges and not shown on Esperanto-USA’s channels. You can send an email to filmfestivalo@esperanto-usa.org to check if a given word or scenario would be unwelcome.

NEVER BEFORE SEEN: To remain eligible, the film cannot be available for online viewing elsewhere before the judges have announced the winners. This will make people visit Esperanto-USA’s channel and help you potentially win the Audience Choice Award. Do not upload the film publicly to YouTube or anywhere else until after that announcement.

AGREE TO LET US SHOW YOUR FILM: By submitting a film, you agree that it may be uploaded onto Esperanto-USA’s various platforms such as their YouTube and Vimeo pages and that you possess all necessary rights and permissions to allow us to do that. Excerpts from the films may also be used as part of promotional materials for Esperanto-USA and their future film contests. You retain ownership of your film and may post it elsewhere after the judges have announced their final decisions.

COPYRIGHTED MATERIAL: No copyrighted materials may be seen or heard in the film unless the filmmaker provides documentation of all necessary written permission to use that material. Material from the Creative Commons is permitted but all necessary attributions must be listed in the credits. Incidental use of a trademark for its intended purpose (such as a visible Nike logo on a character’s clothing or Toyota logo on a car) is permitted as long as the portrayal of that product is not negative or misleading, whereas wearing a full Spiderman costume or playing a song by The Beatles would not be permitted without written permission. See: The Do’s and Dont’s of TM Use and Product Placement in Productions.

PUBLIC DOMAIN MATERIAL: Material that has entered the public domain in the United States is permitted. That means in 2025 the material needs to have been published before the year 1930. For example, you could perform a scene from Zamenhof’s translation of Hamlet (Hamleto, published in 1894) or perform your own original translation of Cole Porter’s 1928 song “Let’s Do It.”

TAXES FOR WINNERS: Winners receiving cash prizes are solely responsible for payment of all applicable local, state, and federal taxes. Any necessary online transfer fees will be deducted from the total prize amount.

ESPERANTO GRAMMAR REFERENCES: The reference guides for what is acceptable grammatically will be PMEG 2020, PIV 2020, and the 2010 edition of the English-Esperanto Dictionary by John C. Wells. Proper nouns and unofficial words like ri and ria are permitted, but not a word or structure listed as “evitinda” with asterisk marks in PMEG 2020 (such as far or graŭ) unless a character is directly commenting on how it is an unusual or improper expression. You can use the “Esperanto Learners” group on Facebook to find grammatical advice from experts but when in doubt, only use a word or expression that appears in at least one of those first three resources listed above.

HOW FILMS ARE JUDGED: The five judges will individually choose their favorite films and those films will receive points. For example, the favorite film of Judge A will receive 10 points, their second favorite will receive 9 points, and so on until their 10th favorite receives one point. The films with the most points overall from those five lists will be the winners. The films will be judged before subtitles are added so make sure your film is easy to hear and understand without needing to read the script or dialogue. The judges will decide how many points to remove if a rule is forgotten but we encourage you to send your film in even if you forget a few things. Only the Audience Choice Award has to do with the film’s popularity on YouTube. The judges will make their decisions before they are made public there.

JUDGES CANNOT WIN: No board member of Esperanto-USA or current contest host or judge or any of their immediate family members may be eligible to win a prize, though they can still submit a film for fun and are allowed to assist other filmmakers with information such as providing pronunciation guidance.

JUDGES’ ANNOUNCEMENT: Winners will be announced in November of 2025 on the Esperanto-USA website and YouTube channel and the judges’ decision will be final. Esperanto-USA will send payment to each winner within 30 days of that announcement. If a winner is unable to be sent money using PayPal or Venmo, they will choose a member of the Universal Esperanto Association and the prize money will be sent to that person’s (either their own or a friend’s) UEA account.

EVERYONE CAN ENTER: People from all countries are welcome to participate and are eligible to win. People may appear in or work on multiple films and agree to split their winnings with the rest of their team, but a separate director is needed for each entry and that director alone shall be awarded the prize if their film wins. All prizes will be in US dollars and the official rules and announcements will be primarily in English per the bylaws of Esperanto-USA.

OFFICIALNESS OF RULES: Legally, only the English version of the festival rules is official. We strove to clearly and faithfully translate every rule into Esperanto, but those wordings on that page are only meant as a helpful resource. The English version of each rule is the authoritative one where any differences can be found.
